Template, please review. This policy is a starting point written for a small online school. Before launch, check it against how you actually handle data, and ideally have it reviewed by a professional (GDPR for Europe, the Israeli Privacy Protection Law, and any local rules where you operate).

The Language Llama (“we”, “us”) runs online English lessons for children and adults. We take privacy seriously, especially when it comes to children. This policy explains what personal data we collect, why, and what rights you have.

Who is responsible

The Language Llama is responsible for your personal data. You can reach us at any time at languagellamaschool@gmail.com.

What we collect

  • When you contact us or request a trial lesson (via the website form, WhatsApp or email): your name, email address, phone/WhatsApp number (optional), the learner’s first name and age, English level, preferred lesson format and times, time zone, and anything you choose to tell us in your message.
  • When you join our group lessons waitlist or newsletter (“Join the herd!”): your first name, surname, email address and, for the newsletter, whether you’re interested in children’s or adult lessons.
  • During lessons: information about the learner’s progress (for example levels reached and teacher notes) so we can plan lessons and keep you updated.
  • For payments: the details needed to invoice you. Card payments are handled by a payment provider; we never see or store full card numbers.

We do not use advertising or tracking cookies. The website stores a few small preferences in your own browser (for example, your chosen language). These never leave your device.

Why we use it

  • To reply to your enquiry and arrange a free trial lesson (steps you request before entering into an agreement).
  • To deliver and plan lessons and share progress updates (performance of our agreement with you).
  • To tell you when group lessons open, only if you joined the waitlist (consent, which you can withdraw at any time).
  • To handle payments and keep accounting records (legal obligation).
  • To send occasional news and tips, only if you signed up for our newsletter (consent, which you can withdraw at any time).

Children’s data

We only collect what we need to teach well: usually a child’s first name, age and level. Bookings are made by a parent or guardian. Lessons are not recorded unless we have asked for, and received, your explicit permission.

Who we share it with

We never sell personal data. We use a few trusted services to run the school, which process data on our behalf:

  • Video lessons: Zoom
  • Messaging: WhatsApp (Meta) and email
  • Teacher intro videos: YouTube (Google), in privacy-enhanced mode, and only when you press play
  • Website forms, waitlist and newsletter sign-ups: Google (Google Sheets and Gmail)

Some of these providers may process data outside your country. Where that happens they use recognised safeguards such as the EU Standard Contractual Clauses.

How long we keep it

Trial enquiries that don’t lead to lessons are deleted within 12 months. Learner records are kept while lessons continue and for up to 24 months afterwards, unless the law requires us to keep accounting records longer.

Your rights

You can ask to see, correct, export or delete your data, object to or restrict how we use it, and withdraw consent at any time. Just email languagellamaschool@gmail.com. If you’re unhappy with how we handle your data, you can also complain to your local data protection authority.

Changes

We’ll update this page if anything changes and show the date it was last updated.
